Ownership Review

Final ownership sign-off confirming the project has been invoiced, all photos and materials are in SquareCoil, and signatures are recorded throughout the checklist.

SEC 01 Ownership Review

The Ownership Review is the final verification step before a job is fully closed. This section applies to Manufacturing, Low Complexity, and Ship-In jobs. Service jobs do not have an Ownership Review section. The owner confirms that everything required for a clean closeout has been completed — invoiced, documented, and signed off.

  • 1
Confirm the Project Has Been Invoiced and the Invoice Date is Set in Project Status
Verify that the job has been invoiced and that the invoice date is entered in Project Status. A job is not fully closed until it's been invoiced. If this hasn't happened yet, do not sign off on this section.
  • 2
Confirm All Photos Are Uploaded to SquareCoil
Verify that all job photos — from survey through installation — are uploaded and accessible in SquareCoil. This is a critical archive requirement. Missing photos at closeout are difficult to recover after the fact.
  • 3
Confirm All Materials and Project Information Are Entered in SquareCoil
Verify that material records, job notes, and all project information have been fully entered in SquareCoil. This data is used for costing, reporting, and future reference — incomplete records create problems down the road.
  • 4
Confirm Signatures Are Recorded in Each Section of the Checklist
Review the physical checklist and verify that every required signature line has been signed and dated. Every section that applies to this job type must be complete. A checklist with unsigned sections cannot be closed out.
