Installation, Post-Install, Post-Service & Customer Signature
Pre-install staging, completing the job on site, photos, cleanup, NTE verification, and obtaining the customer's sign-off.
This section applies to Manufacturing, Low Complexity, and Ship-In jobs. Service jobs skip directly to Post-Service. Everything in this section must be completed before the install crew leaves for the job site.
-
1Gather All Support MaterialsCollect everything the install crew will need on site — touch-up paint, caulk, hardware, fasteners, wire nuts, breakers, and anything else specific to the job. Missing a key supply on an install wastes a trip and delays the job.
-
2Set the Scheduled Installation Date in Project StatusUpdate the scheduled installation date in Project Status. This step is completed by a manager.Manager step. Only a manager should set the scheduled installation date in Project Status.
-
3Stage or Load the Job Before the Installation DateThe job must be fully staged or loaded before the scheduled installation date. This step is signed off by the Freight Coordinator. Everything should be ready to go the day before — not the morning of.
-
4Arrange Out-of-Town Crew Accommodations if NecessaryIf the install requires the crew to travel and stay overnight, confirm that accommodations have been arranged before the install date. This step is completed by a manager.Manufacturing and Ship-In only. This step does not apply to Low Complexity jobs.
-
5Verify Site Materials Are ReadyConfirm that any site-provided or contractor-supplied materials are in place before the crew arrives — concrete, anchor bolts, conduit, or anything else that the install depends on. Arriving to an unprepared site results in a failed trip.Manufacturing and Ship-In only. This step does not apply to Low Complexity jobs.
-
6Post the Permit Pack Before Starting and Leave It On Site After CompletionThe permit pack — including permits, stamped plans, and engineering documents — must be posted in a visible location before installation begins. Leave the permit pack on site after the job is complete.Manufacturing and Ship-In only. Take photos of the posted permit pack. This is required for inspection.
The Post-Install section applies to Manufacturing, Low Complexity, and Ship-In jobs. Service jobs use Post-Service instead. All of these steps must be completed before the crew leaves the job site — do not leave and come back to complete them later.
-
1Remove ALL Trash and Debris from the SiteEvery piece of trash and debris — large and small — must be removed before leaving the site. This includes packaging, scrap material, hardware, and anything else brought on site. Leave it cleaner than you found it.
-
2Clean Signs and Wall AreasWipe down all signs and surrounding wall areas. Remove handprints, water marks, adhesive residue, and anything else that shouldn't be visible. The job should look finished — not like someone was just working on it.
-
3Complete Any Paint or Vinyl Touch-Ups and RepairsAddress any touch-ups, nicks, or repairs before leaving the site. This is included as part of the install — do not leave it for a return trip unless there's a specific documented reason.
-
4Confirm Electrical Is Complete Per All Applicable CodesAll electrical work must be completed in full compliance with applicable local, state, and national electrical codes before the job is signed off.
-
5Label the Sign Circuit at the Breaker BoxClearly label the sign circuit at the breaker box and take photos to document it. This is a safety and code requirement.Manufacturing and Ship-In only. This step does not apply to Low Complexity jobs.
-
6Take Installation Photos Per the Photo Checklist GuideDocument the completed installation with photos following the photo checklist guide. Consistent, thorough photos protect Zeon and give the PM and ownership team what they need for closeout and review.
-
7Upload Photos and Notes to SquareCoilUpload all installation photos and any relevant notes to SquareCoil. For Manufacturing jobs, this must be done before leaving the site.Manufacturing jobs: upload before you leave the site — not when you get back to the shop.SquareCoil Training · Module 04: Uploading Photos →

-
10Confirm All National Account Requirements Have Been MetReview any specific requirements provided by the national account and confirm every one has been satisfied before leaving the site.Ship-In only. This step does not apply to Manufacturing or Low Complexity jobs.
This section applies to Service jobs only. It replaces the Post-Install section for service calls. All steps must be completed before the technician leaves the site. If at any point the work looks like it will exceed the NTE (Not to Exceed) amount, stop and contact your manager before continuing.

The customer signature is the on-site confirmation that the job has been completed to their satisfaction. Do not leave without getting the signature — getting it later creates problems at closeout.

1Obtain the Customer's Signature and DateHave the customer or authorized site representative sign the checklist. Make sure the date is filled in. If the customer is not available on site, contact your manager before leaving — do not leave without the signature unless specifically directed to by management.
