Project / Service Manager Review

Uploading notes and the completed checklist to SquareCoil, and sending the final customer follow-up to close the loop on the job.

2 Sections  ·  All Checklist Types
SEC 01 Project Manager Review Mfg  ·  Low Complexity  ·  Ship-In

This section applies to Manufacturing, Low Complexity, and Ship-In jobs. It is completed by the Project Manager after the job is installed and signed off. These are the final administrative steps that close out the job properly. Service jobs use the Service Manager Review section instead.

  • 1
Scan Survey, Manufacturing, and Install Notes into SquareCoil
Scan and upload all physical notes from the survey, manufacturing, and installation stages into SquareCoil. These notes are part of the permanent job record and must be in SquareCoil before the checklist is submitted.
  • 2
Upload the Completed Checklist to SquareCoil
Scan the fully signed and completed physical checklist and upload it to SquareCoil. The checklist must have all required signatures before uploading — a checklist with blank signature lines is not complete.
  • 3
Write a Thank You Note and Drop It in the Mail Bin
Write a personal thank you note to the customer and drop it in the outgoing mail bin. This is a standard step for all Manufacturing and Low Complexity jobs.
Manufacturing and Low Complexity only. Ship-In jobs skip this step.
  • 4
Send a Follow-Up Email Requesting a Customer Review
Send the customer a follow-up email requesting a review or feedback on the project. This is the final customer-facing step in the job lifecycle and should be sent after everything else in this section is complete.

SEC 02 Service Manager Review Service Only

This section applies to Service jobs only. It is completed by the Service Manager after the service call is finished and all post-service steps are done. These are the final administrative steps that close out a service job.

  • 1
Confirm the Project Has Been Invoiced
Verify that the service job has been invoiced before completing this section. A service job is not fully closed until it's been invoiced. If the invoice hasn't gone out yet, coordinate with the appropriate party before signing off.
  • 2
Scan Survey and Service Notes into SquareCoil
Scan and upload all physical notes from the survey (if applicable) and service call into SquareCoil. These are part of the permanent job record.
  • 3
Upload the Completed Checklist to SquareCoil
Scan the fully signed and completed physical checklist and upload it to SquareCoil. Confirm all required sections have signatures before uploading.
  • 4
Write a Thank You Note and Drop It in the Mail Bin
Write a personal thank you note to the customer and drop it in the outgoing mail bin.
  • 5
Send a Follow-Up Email Requesting a Customer Review
Send the customer a follow-up email requesting a review or feedback on the service. This is the last step in closing out a service job.
